Scheduling client bookings

In this tutorial, we'll guide you through scheduling various bookings using the calendar in your coach’s app.

You'll also discover how clients are automatically categorised by their activity level and get a quick tour of the Today page, where you’ll manage your daily bookings.

Easy Steps

GoXPro Scheduling Tutorial
Step 1:
Navigate to the Clients tab

First, navigate to the Clients page inside GoXPro. On the left, select the 'Clients' tab. You can see a total of 12 clients, including all categories from active to discontinued. The current view shows only your active clients.

Step 2:
Review client status

A client's status is automatically assigned based on their level of activity with their coach. To view other statuses like Prospect, Passive, or Discontinued, click the 'Other' button.

Step 3:
Access client status details

For further details about the rules around each client status, click the information button at the top of the page.

Step 4:
Understand the Guest status

The Guest status allows you to add prospective members for a micro-assessment. If GoXPro is integrated with your club software, this data will be automatically deleted at midnight the day of the assessment.

Step 5:
Utilize search and cog wheel features

Use the magnifying glass to search for a client and the cog wheel to choose whether to see only your PT clients or all PT clients in the club (depending on club settings).

Step 6:
Access client folders

Each client automatically has a folder in the app. Their goals and contraindications to exercise are always visible. Click the down arrow for more details.

Step 7:
Record client weigh-ins

You can conduct weekly weigh-ins by clicking the 'Add' button to record a new weigh-in. Changes in body weight are auto-calculated for you.

Step 8:
Open the Calendar tab

Click the 'Calendar' tab to access day, week, and month views. You can also view other trainers' calendars if the feature is enabled.

Step 9:
Overlay your pre-set availability

Check the 'Show availability' box to overlay your pre-set availability hours. These times can be booked by clients through the app.

Step 10:
Add a new booking

To add a new booking, click on the desired time slot (e.g., tomorrow at 11am) and fill in the session details in the pop-up window.

Step 11:
Select a booking type

Choose the session type (e.g., private one-on-one session) from the booking pop-up.

Step 12:
Enter the client's name

After selecting the client, basic information about them will appear on the right of the page.

Step 13:
Confirm session details

The session date, time, and duration are automatically filled based on your selection. Adjust these fields as needed.

Step 14:
Manage online virtual sessions

For virtual sessions, paste the meeting URL (Zoom, Teams, etc.) into the appropriate field. The link will be available to both you and the client.

Step 15:
Add session notes

You can add any notes regarding the session in the session notes section.

Step 16:
Set repeating bookings

If this session repeats, set the repeat options, specifying an end date or leaving it open for indefinite repeats.

Step 17:
Finalize the booking

Click the 'Add' button to add the session to your calendar.

Step 18:
Reschedule bookings

To reschedule a session, simply drag it to a new time slot.

Step 19:
Use the Today tab

The Today tab shows all of your bookings for today and tomorrow. This is where you'll start each day's bookings.
